3. Active Subscription Period

While your subscription is active, all archived evidence associated with your account is retained in encrypted cloud storage and remains fully accessible. You may re-archive accounts to capture new content during this period.

4. Post-Expiry Grace Period

Upon subscription expiry (for either one-time or recurring plans), your data enters a 90-day grace period. During this period:

  • Your data remains stored but is not accessible through the Service
  • You may reactivate your subscription to regain access
  • No new archiving or AI search functions are available

After the 90-day grace period, your archived evidence is permanently deleted from our systems. This deletion is irreversible.

5. Account Deletion

You may request deletion of your account and all associated data at any time by contacting support@socialevidence.au. Upon receiving a valid deletion request:

  • Account profile data will be deleted within 30 days
  • All archived evidence (media, metadata, transcripts, screenshots) will be permanently deleted within 30 days
  • AI chat history will be deleted within 30 days
  • Payment records will be retained for 7 years as required by Australian tax and financial reporting obligations

6. Legal Holds

Where we are subject to a legal hold, preservation order, or regulatory obligation that requires retention of specific data, the applicable data will be retained for the duration of the hold regardless of the standard retention schedule. We will comply with all lawful preservation requests from courts and regulatory authorities.

7. Data Destruction Methods

When data reaches the end of its retention period, it is permanently deleted using the following methods:

  • Cloud storage objects (media, screenshots): Permanently deleted from cloud storage buckets. Deletion is irreversible.
  • Database records: Hard deleted from the database. No soft-delete or recycle bin is maintained.
  • Local processing files: Deleted from server disk immediately upon successful cloud synchronisation during the job processing workflow.

8. No Guaranteed Retention

While we implement commercially reasonable measures to maintain the integrity and availability of stored data, we do not guarantee that data will be retained for any specific period beyond the commitments set out in this policy. We accept no liability for data loss resulting from events beyond our reasonable control, including but not limited to cloud provider failures, force majeure events, or security incidents.

9. Changes to This Policy

We may update this Data Retention Policy from time to time. Changes will be posted on this page with a revised "Last updated" date. Material changes to retention periods will be communicated to active subscribers via email.
